Executive Assistant to our Executive VP

About The Position

OpenDor Media (ODM) is seeking a highly organized and proactive Executive Assistant to partner and work with our Executive Vice President (EVP). The right person will be able to anticipate needs, think critically and solve problems with a high level of professionalism and confidentiality. This role goes beyond traditional administrative support - it's about staying two steps ahead, ensuring the EVP is always prepared and informed.

This full-time, remote role based in the United States requires flexibility in working hours, as ODM operates globally and the EVP's schedule extends beyond traditional hours.

The Executive Assistant reports to the Vice President of Development.  

What You’ll Do: 

Fundraising & Donor Relations

  • Proactively steward personal donor, partner, and stakeholder communications, including email correspondence.
  • Assist the EVP in submitting proposals, grants, update reports for donors as well as speeches and presentations.
  • Conduct research on donors and new fundraising leads.
  • Maintain and update donor and partner information in the CRM system (currently Salesforce).
  • Track donor giving and ensure timely follow-ups to strengthen relationships and stewardship.
  • Assist in planning and executing fundraising events and parlor meetings, including materials, invitations, and follow-up.

Event & Travel Coordination

  • Prepare for fundraising trips by compiling target donor lists, prioritizing outreach, and drafting meeting requests.
  • Organize materials and briefs for donor meetings and follow up on action items post-trip.
  • Coordinate invite lists and logistics for donor-related events.

Administrative & Executive Support

  • Manage the EVP’s schedule, ensuring alignment with fundraising and donor engagement priorities.
  • Liaise with internal staff to gather necessary materials, track deliverables, and ensure timely completion of tasks.

Requirements

What You Have:

  • 2–5 years of experience in executive support, fundraising, development, donor relations, or a related field.
  • Strong written communication skills, including experience drafting professional emails, proposals, or donor correspondence.
  • Experience conducting prospect research on donors and new leads.
  • CRM/database management experience (Salesforce preferred), with the ability to track and maintain donor information.
  • Project coordination skills, including managing multiple priorities and ensuring timely follow-up.
  • High attention to detail, especially when preparing materials for fundraising events and donor meetings.
  • Strong organizational and time management skills, with the ability to manage schedules and coordinate with internal teams.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and other relevant tools for creating presentations and reports.
  • Previous experience supporting a senior executive or high-profile fundraise
  • Experience in a nonprofit, development, or fundraising environment (a plus but not required)
  • Familiarity with Jewish community organizations, philanthropy, or Israel-related causes (a plus but not required).

Salary

Our target salary range for this position when based in New York is $60,000 -$65,000 annually. The final salary for this role will be determined based on careful consideration of a variety of factors, such as the candidate's exact location, experience in similar roles, and expertise related to the qualifications.
